X-ray reporting software for high-volume departments

X-ray reporting software helps radiologists report large numbers of plain radiographs quickly and consistently. In Caresoft RIS each billed X-ray opens with the template for that view — chest PA, KUB, spine, extremities — already filled with patient details, so a normal study can be checked, edited where needed and signed in well under a minute.

Why X-ray is where Word files hurt most

X-ray lists are long and most reports are short. When each one means opening a Word template, retyping the name, age and UHID, and saving a file, the typing takes longer than the reading. Spelling mistakes in patient names and wrong dates are the common result.

In Caresoft RIS the study arrives from the HIS bill with those details already in place, and the template for that service code opens by itself. The radiologist or typist changes only what is abnormal.

Templates that match X-ray work

Keep one template per view or region: chest PA, chest AP (portable), abdomen erect and supine, KUB, PNS, cervical and lumbar spine, pelvis, shoulder, knee and so on. Each can hold a ready normal report with findings as bullet points and the impression highlighted. Variants — for example "chest PA – post-operative" — are just more templates in the same list, searchable by name.

Existing Word formats do not need to be retyped. The hospital administrator selects many .docx files at once and each becomes a template, keeping bold, underline, highlight, colours, bullets, numbering, indents and tables. Each template can then be linked to HIS service codes so the right one opens automatically.

The worklist

The worklist shows what is waiting to be reported, with urgent studies at the top and ward (IPD) and emergency studies marked. Filters by date, modality and a single search box for name, UHID, bill number or mobile keep long lists manageable. Drafts, finals and cancelled studies sit in their own tabs.

Signing and delivery

Only users the administrator allows can finalize. A signed report cannot be overwritten; changing it needs a written reason and creates a new version, with the full history kept. Only one person can edit a draft at a time — anyone else who opens it sees it read-only and is told who is editing. Every finalize, amendment, print, PDF download and send is recorded.

When a report is finalized, RIS creates a private link that expires after the number of days the hospital chooses. The patient receives it by email — with the report attached as a PDF — and on WhatsApp through the official WhatsApp Business API, where the PDF can also be sent as a file. Every send is logged with its result.

Questions

Can a typist prepare X-ray reports for the radiologist?

Yes. Typists can open studies, apply templates and save drafts. Only users marked as able to finalize — normally the radiologists — can sign. While a typist is editing a draft, anyone else who opens it sees it read-only.

Can we report a normal chest X-ray with one click?

The template for that service opens automatically with the normal findings. The radiologist reviews it and clicks Finalize & sign. If the template still has blanks (___), RIS asks before signing.

Does it show X-ray images?

No. Images stay in your PACS or CR/DR console. Caresoft RIS is where the report is written, signed and delivered.
