Radiology report templates: bring your Word formats, link them to services

A radiology report template is a pre-formatted report for one study type — headings, normal findings, measurement blanks and impression — that the radiologist edits instead of writing from scratch. In Caresoft RIS templates can be imported in bulk from existing Word files, linked to HIS service codes so the right one opens automatically, and include patient fields that fill themselves in.

Bulk import from Word

Existing Word formats do not need to be retyped. The hospital administrator selects many .docx files at once and each becomes a template, keeping bold, underline, highlight, colours, bullets, numbering, indents and tables. Each template can then be linked to HIS service codes so the right one opens automatically.

Tip: remove the patient name and age lines from your Word formats before importing. The patient details box is printed automatically above every report from the HIS data, in the order the administrator chooses.

Linking templates to services

Each template can carry one or more HIS service codes. When a study with that code is opened, its template is applied automatically. If no code matches, templates with the same modality are suggested first, and the full list is searchable.

Patient fields inside a template

Insert fields from the editor's { } button: patient name, age, gender, UHID, visit and bill numbers, study, modality, referring doctor, clinical history, study and report dates. They are replaced with the patient's details when the report opens and when it prints.

What a good template contains

  • A centred, underlined title with the study name.
  • Technique or sequences, where relevant.
  • Findings in a fixed order, as short paragraphs or bullets.
  • Blanks (___) for measurements — RIS warns before signing if any remain.
  • Tables for measurement-heavy studies such as obstetric biometry or Doppler.
  • An impression line, often highlighted so it stands out on the page.

Questions

Which Word files can be imported?

.docx files. Older .doc files should be saved as .docx in Word first.

Are images inside Word templates kept?

Embedded PNG, JPEG and GIF images are kept. Most report templates should not need images, since the letterhead is set separately.

Can reporting users edit templates?

No. Templates are managed by the hospital administrator; reporting users apply them and edit the report.
