Moving radiology reporting off Word files

Moving from Word files to Caresoft RIS means patient details come from the bill instead of being retyped, every report is stored in the patient's file instead of a folder, signed reports cannot be edited without a recorded amendment, and patients receive the PDF on WhatsApp and email. Existing Word formats are imported in bulk, so radiologists keep the reports they know.

What changes on day one

With Word filesWith Caresoft RIS
Name, age, UHID retyped for every reportFilled from the HIS bill or the patient record
One .docx per patient in a folderEvery report in the patient's file, searchable by name, UHID, bill no. or mobile
Anyone can edit a printed reportSigned reports locked; amendments need a reason and keep history
Two people can overwrite each other's fileOne editor per draft; others see it read-only
Patients collect paperPDF on WhatsApp and email, with a private link
No idea how long reports takeBilling-to-final time per radiologist

What stays the same

Your report formats (imported from .docx), your letterhead, your radiologists' way of writing. The editor has the formatting tools they use in Word, and pasting from an old Word report keeps the formatting.

The switch, step by step

  1. Caresoft onboards the hospital and creates the administrator.
  2. The administrator imports the Word formats and links them to service codes.
  3. Letterhead or stationery margins are set, and radiologists are added with signatures.
  4. Email and WhatsApp are connected and tested from the settings screen.
  5. The HIS connection is switched on — or the front desk starts entering studies in RIS.

Questions

Do we lose our old Word reports?

No. They stay where they are. Caresoft RIS holds the reports created in it from go-live; old files can still be opened as before.

Will radiologists need training?

The editor works like Word, and templates open automatically. Most of the change is in where patient details come from and in signing, both of which happen in the same screen.
