Sending radiology reports to patients on WhatsApp and email

Caresoft RIS sends each finalized radiology report to the patient through the official WhatsApp Business (Cloud) API and by email. Email carries the PDF as an attachment plus a private link; WhatsApp sends your approved template with the link, and can include the PDF as a document. Sending can be automatic on finalize or done from the report screen, and every attempt is logged.

Official API, your own number

Messages go from your hospital's WhatsApp Business number using a template approved in Meta Business Manager — not from staff phones. The template has three variables: patient name, study and the report link. If the template also has a document header, RIS sends the PDF as a file in the chat.

Private links that expire

Each finalized report gets an unguessable link. It opens the report on any phone with a Download PDF button, and stops working after the number of days the hospital sets. Staff can renew it by copying the link again from the report screen.

Email with the PDF attached

Email can go through the hospital's SMTP server, Amazon SES or Caresoft's mail server. The subject and message are editable with patient fields, and the PDF is attached automatically.

Delivery log

Every email and WhatsApp is recorded with recipient, time, who sent it and the result — including the reason when a send fails — so the front desk can fix a wrong number and resend.

Questions

Do we need a WhatsApp Business API account?

Yes. Caresoft RIS uses the official WhatsApp Business Cloud API. The hospital needs a phone number ID, an access token and an approved Utility template.

Can reports be sent automatically when signed?

Yes. The administrator can switch on automatic email and/or WhatsApp on finalize. Reports can also be sent or resent from the report screen.

What does the patient see?

A message with their name, the study and a private link. The link opens the report with a Download PDF button; email also carries the PDF.
